# How to Evaluate Concession Operators: A Venue Buyer's Guide

Where and how venue buyers should evaluate concession operators. Proof to ask for, red flags, and a scoring sheet before you hire.

## You are evaluating an operator, not collecting brochures.

The right question is not “do they sound professional.” The right question is whether they can run your building when it is loud, late, and short-staffed.

## Where should you evaluate concession operators?

Evaluate them against comparable venues, written ops answers, and how they handle compliance questions under pressure. Website polish and a booth at a trade show are starting points. They are not proof.

Useful places to look:

-   Live references at venues like yours (arena, hall, fieldhouse, park complex, festival footprint)
-   How they describe deal structure without hiding the model
-   Whether they can name permit and alcohol responsibility without hedging
-   On-site leadership: who shows up when something breaks

Avoid: invented rankings, “#1 in Texas” claims, and testimonials you cannot verify. This guide will not invent them either.

## What proof is fair to ask for?

Fair proof is named comparable work, a clear scope, and a willingness to walk a scoring sheet. Unfair proof is demanding confidential contract dollars from another venue. Ask for pattern, not secrets.

Ask your vendor:

1.  Which venue types have you operated that match ours?
2.  Who is the day-of lead and how do we reach them during an event?
3.  How do you staff peak vs average?
4.  Who owns food permits and, if alcohol is in scope, TABC-related responsibility?
5.  How do you report sales and handle comps/voids?
6.  What is in writing for call-outs and stand closures?

## What are the diagnostic red flags?

Red flags include menu-first pitches with no staffing chart, refusal to name permit ownership, and “flexible” everything with no numbers. Another tell: they only want to talk about one trendy concept when you asked for a concessions program.

Plenty of events and venues run food in-house and do fine. An operator who tries to talk you out of a bad-fit engagement is doing you a favor. An operator who agrees to every brief is selling.

## Ask-your-vendor scoring sheet

Score each 0-2 (0 = no answer, 1 = vague, 2 = specific):

1.  Comparable venue type named
2.  Day-of lead and contact path
3.  Peak staffing plan with numbers
4.  Food permit ownership
5.  Alcohol / TABC ownership or explicit out-of-scope
6.  Sales reporting and audit comfort
7.  Call-out / backup plan
8.  Deal model explained in plain language
9.  What they will decline to do (disqualify signal)
10.  Transition plan if the relationship ends

Under 12: keep shopping. A high score with a bad cultural fit still means walk. You live with this team on event nights.

## A simple evaluation sequence that respects your time

1.  Send the scoring sheet before the sales dinner.
2.  Shortlist only vendors who answer in writing.
3.  Call one comparable reference with the same questions.
4.  Walk the building or festival footprint together and watch who talks ops vs who talks branding.
5.  Decide.

If step one already filters the list, good. That is the point.
