You are not hiring a snack cart for atmosphere. You are locking a one-night volume plan that helps the booster club raise funds for the program while the game stays on schedule.
What booster stadium night concessions means in DFW
Booster stadium night concessions in DFW means food and beverage for a single athletic night (or short series) where the buyer is a school athletic director, booster club, or both, and the crowd shape is gate-plus-halftime, not a all-day carnival map.
That is different from a permanent venue concessions lease. It is also different from a PTO carnival. Soft-link facility-operator depth at youth sports complex concessions in DFW when the complex owns the ask. Keep this post on the school and booster fundraiser frame.
Service framing is DFW-wide and Texas-wide. Headquarters: 6200 Wildwood, McKinney, TX 75072. Not McKinney-only.
How stadium night F&B helps boosters raise funds for their programs
Stadium night food and beverage exists to help boosters raise funds for their programs. Give-back is the job of the stands. It is not assumed because the crowd is hungry.
Ask before you book:
- How do proceeds support the program this night is funding?
- What is written vs verbal?
- What duties stay on the booster so the night remains a fundraiser, not free labor for a vendor?
Do not invent a revenue-share percent, a dollar cut, a donation total, or a guarantee. Soft TODO: if JT Hospitality Group later locks a public revenue-share or donation model, place that locked wording here. Until then, keep the frame explicit and qualitative.
Athletic director vs booster club: split the duties in writing
Stadium nights fail when the AD and the booster club each think the other owns staffing, permits, or teardown.
Lock a written split:
- Who is the campus contact for facilities and access?
- Who is the booster contact for volunteer roles (if any)?
- Who is the vendor contact for crew, inventory, and inspector talk?
- Who approves the map and power needs?
- Who owns end-of-night breakdown and trash?
Diagnostic tell: if the kickoff meeting has three "I thought you had that" moments, stop and rewrite the split before the deposit clears.
One-night volume shape (not carnival, not tournament weekend)
A stadium night is a compressed volume shape: arrival rush, halftime spike, possible post-game trickle, then teardown.
Plan for:
- Gate timing relative to kickoff or first pitch
- Halftime or intermission as the real peak
- Menu that moves fast under lights and weather
- Restock without stealing the whole crew from the line
- A dry-campus default until policy says otherwise
Do not paste a carnival multi-station map onto a single-night field without asking whether the crowd path supports it. Keep carnival-shaped maps and multi-day tournament peaks on their own briefs when those guides are live. Soft-adjacent depth for facility operators and competition weekends stays at the live youth sports and cheer/dance posts linked below.
Dry campus default
Campus alcohol follows district policy and Texas rules, not vendor preference. Many school stadium fundraisers stay dry. Confirm policy early. If the night is dry, say so in the brief so the vendor does not build the wrong plan.
Weather, lights, and one-night logistics
Stadium nights compress when weather hits or kickoff slips. Lock a short weather plan with the AD and booster contact before the deposit.
Ask who owns:
- Delay and postpone communication to the vendor crew
- Hot and cold holding if the peak slides an hour
- Whether a shortened night still helps raise funds for the program or should cancel cleanly
A clean cancel beats a half-staffed night that burns volunteers and still does not fund the program.
Permits, food safety, and the inspector walk
Name the permittee of record before you lock the night. Name who runs cold hold and hot hold checks during the halftime spike. Name who talks to the inspector.
Texas Food Establishment Rules: cold hold at 41°F or below, hot hold at 135°F or above. Outside rule, not a brand claim.

Soft-park: lineup brands are not stadium exclusives
Public fundraiser brand lineup (approved), all or mix-and-match for campus days:
- Maui Wowi
- Dippin' Dots
- Doc Popcorn
- Boo Boo's Lemonade
- Acai Bowls
Do not use internal nicknames for that lineup in public copy. Hiring stays with JT Hospitality Group. Lineup brands are learn-more links.
Soft-park: do not position Boo Boo's Lemonade or Pop-Up as stadium exclusive F&B. On a stadium night they are options inside an operator plan if the map and policy fit, not a claim of exclusivity.
Ted E's Kitchen remains flagship venue food ops learn-more when kitchen-scale concessions are the right shape. Artisan Provisions remains culinary catering learn-more when the ask is catering-shaped. Neither replaces the parent company as the hiring path.
Buyer checklist: stadium night score sheet
Score 0 for no, 1 for maybe, 2 for yes.
- Is the AD / booster duty split written before deposit?
- Who is the permittee of record for food that night?
- Who staffs the stands, and what volunteer roles (if any) stay on the booster?
- How do you handle cold hold and hot hold during the halftime spike?
- Who talks to the health inspector if they walk?
- How does F&B help the club raise funds for the program (proceeds in plain language)?
- Is alcohol off unless district policy and permits allow it?
- Who owns setup, teardown, and trash after the final horn?
- Is the contract with one operator or a stack of vendors the booster manages?
Bring this sheet to every vendor call. Prefer vendors who will disqualify themselves when the night is too small or the policy fit is wrong.
