What a school fundraiser F&B checklist is for
A school fundraiser F&B checklist is a pre-booking scorecard for Texas schools, boosters, and PTO or PTA chairs who need food and beverage that holds under real campus rules.
Use it before deposits. Use it the same way for a carnival, a tournament weekend, or a stadium night. The shapes differ. The ownership questions stay the same.

How fundraiser F&B helps schools raise funds for their programs
School fundraiser food and beverage exists to help schools and boosters raise funds for their programs. That give-back is the reason the stands are open. It is not assumed because snacks sold.
Put this on the checklist as a scored item, not a soft hope:
- How do proceeds support our program?
- What is in writing vs what is a handshake?
- What do volunteers still owe so the day stays a fundraiser, not a free labor trap?
Do not invent a revenue-share percent, a dollar cut, a donation total, or a guarantee. Soft TODO: if JT Hospitality Group later locks a public revenue-share or donation model, drop that locked wording into this section. Until then, keep the frame explicit and qualitative.
Who is the permittee of record?
The permittee of record is the person or company accountable for food on campus or stadium that day. If nobody can name them, stop the booking.
Ask:
- Whose name is on the temporary food permit or establishment permit for this event?
- Who talks to the health inspector if they walk mid-event?
- What campus or district rules sit on top of state rules?
Do not invent district partnerships or named school clients. Ask your own campus for the rule set. Ask the vendor for their permit answer in one sentence.
Hot hold, cold hold, and the inspector walk
Texas Food Establishment Rules set cold hold at 41°F or below and hot hold at 135°F or above. Your vendor should already know that without a speech.
Score the vendor on process, not slogans:
- Who runs temperature checks during peak windows?
- Where is the log, and who owns it on site?
- What happens if a product sits in the danger zone during a rush?
- Who greets the inspector, and who stays on the line?
Diagnostic tell: if the answer is “we’ve never had a problem,” you learned nothing about the plan.
Staffing: operator crew vs volunteers you still recruit
Operator crew means the hospitality company brings people who work the stands as their job that day. Volunteer staffing means your booster or PTO still fills the shifts.
Neither is automatically wrong. Mixing them without a written split is wrong.
Lock:
- Positions the operator covers
- Positions the school or booster still covers
- Break coverage during peak
- Who closes and who stays for teardown

Peak lines: plan the rush, not the average hour
Peak lines fail at gate open, halftime, game turns, and lunch windows. Average-hour math hides that.
Ask for:
- A map of stations relative to gates, fields, and exits
- A restock plan for the first peak
- A trash and ice plan that does not steal line workers
- A weather compress plan if the day shrinks
If the vendor cannot talk about peaks without inventing attendance guarantees, keep shopping.
Setup, teardown, and trash
Setup, teardown, and trash decide whether your volunteer bench survives the day.
Score:
- Who owns load-in and power or water needs
- Who owns mid-event trash runs
- Who owns end-of-night breakdown
- What the campus facilities team still must approve
Leave these blank and you will staff them yourself at 10 p.m.
Alcohol on campus: dry by default until policy says otherwise
Campus alcohol follows district policy and Texas rules, not vendor preference. Many school fundraisers stay dry. Confirm policy before you ask for a beverage plan.
If alcohol is off the table, say so early so the vendor does not build the wrong day.

Score each answer 0 for no, 1 for maybe, 2 for yes. Compare vendors on the same sheet.
- Who is the permittee of record for food on our campus or stadium that day?
- Who staffs the stands, and what roles (if any) stay on school or booster volunteers?
- How do you handle cold hold and hot hold checks during peak windows?
- Who talks to the health inspector if they walk mid-event?
- Can you shape carnival, tournament weekend, and stadium night without rebuilding from scratch?
- How does F&B help our school or club raise funds for the program (proceeds in plain language)?
- Who owns setup, teardown, and trash?
- Is the contract with one operator (JT Hospitality Group if you hire us) or a stack of vendors we manage?
- Does alcohol stay off unless our district policy and permits allow it?
- If one concept cancels late, who backfills the hole in the map?
A low score is useful. It means keep looking or shrink the day.
